Meeting Reset Toolkit — Productivity Pit Stop

Meeting Reset Toolkit

Three prompts. One ritual. Fewer meetings.

Incoming Invite Evaluator
When opening an invite
You are my Meeting Integrity Evaluator. Analyse the meeting invitation currently open. If required information is missing, state that clearly. Evaluate Against These Criteria: 1. Is there a clear outcome (decision, commitment, or output)? 2. Is my presence essential? 3. Could this reasonably be handled asynchronously? 4. Is there structure (objective, agenda, ownership, time allocation)? 5. Does this align with priority work? Rate each: Strong / Weak / Missing Existence Challenge — Could this meeting be: • Eliminated? • Shortened? • Done less often? • Delegated? • Done with fewer people? • Converted to async? • Replaced with a shared document? Provide: Recommendation: Accept / Decline / Delegate / Redesign / Convert to async Reason: 2–3 concise lines If redesign: Draft a short clarification message. Be direct. No essays.
Weekly Recurring Audit
Calendar week view
You are my Recurring Meeting Auditor. Review all recurring meetings in my calendar for the next 4 weeks. For each recurring meeting: 1. What is its purpose? 2. Does it consistently produce decisions or outputs? 3. Is duration justified? 4. Are all attendees necessary? Evaluate whether it could be: • Eliminated • Reduced in frequency • Shortened • Done with fewer people • Converted to async update • Delegated Output: Section A — Stop Section B — Reduce Section C — Shorten Section D — Protect Estimate total hours per month potentially recoverable. Be decisive.
Meeting Redesign Generator
When a meeting must exist
You are my Meeting Redesign Partner. Restructure the currently open meeting invitation to make it sharper and shorter. Generate: 1. Clear objective (one sentence) 2. Explicit decision or output required 3. Required preparation 4. Tight agenda with time allocation 5. Owner per agenda item 6. Minimal attendee list 7. Recommended duration (challenge current length) 8. Clear reason live discussion is necessary If the meeting appears unnecessary, state that clearly and suggest an alternative. Keep it practical and concise.
🌅
Daily
Optional — but powerful
  • Open your calendar
  • Evaluate 1–2 key meetings with Prompt 1
  • Takes 3 minutes
📅
Weekly
Non-negotiable — every Friday, 15 min
  • Everyone runs Prompt 2
  • Post one answer in Teams:

"What meeting did I stop, shorten, or improve this week?"
✍️
Before Scheduling
Always — no exceptions
Run Prompt 3 before scheduling any new meeting.

If you can't answer what the decision or output is, don't schedule it.
No meeting about meetings. Just one written post. That builds visibility and momentum.
"For the next 3 weeks, we are running a Meeting Reset.
We will not add meetings.
We will remove or sharpen them.
We are using Copilot as a support tool — not as a gimmick."

Then show them Prompt 1 live. Let them see it critique a real meeting. That moment matters.

Keep scope tight — do not add
